Avoid Employers Who Skip Basic Job Documentation
Joining a company without proper documentation like offer letters, appointment letters, or salary slips can risk your legal rights, career growth, financial access, and future job opportunities. Always insist on paperwork.

You’ve cleared the interviews. The manager says, “You’re selected. Come join us from Monday.”
You’re excited. The job seems fine. But when you ask for an offer letter or appointment letter, the response is: “We’ll do the paperwork later — don’t worry. We trust each other, right?”
Stop right there.
This article isn’t about corporate buzzwords or HR jargon. It’s a real-world guide about why you should never join a company that doesn’t give proper documentation - like an offer letter, appointment letter, salary slip, experience certificate, or any form of written proof of employment.
And to help you connect better, we’re sharing real-life scenarios from Indian workplaces. Let’s begin.
1. Documentation Isn’t a Formality — It’s a Shield
Example: Ramesh from Lucknow got hired at a small trading firm. He was asked to join immediately, and the owner said, “We don’t believe in formalities - our word is our bond.” Ramesh worked there for six months. One day, without warning, he was asked to leave. No notice. No dues cleared. When he tried to approach the labour office, they asked for a copy of his offer letter, which he never received.
That was the end of it.
Why this matters: Offer letters and appointment letters are your written proof that you are legally employed. They define your salary, notice period, probation rules and responsibilities. Without them, you’re invisible in the eyes of the law.
2. Without Paperwork, You Have No Legal Rights
Example: Priya from Kolkata worked at a digital marketing startup for over a year. They promised ₹35,000 per month, but kept delaying payments. After four months of pending salary, she finally resigned. When she approached the labour commissioner, she was told “Do you have a salary slip or offer letter?”
She had neither. The company simply denied her claims and she couldn’t do anything.
Why this matters: If you’re ever underpaid, mistreated or fired without cause, the only way you can take legal action is through written proof. Verbal promises don’t hold up in court.
3. Your Experience Becomes Meaningless Without Proof
Example: After working at a small IT firm in Hyderabad for two years, Manoj decided to apply to Infosys. The interview went well, but during background verification, he was asked to submit:
Appointment letter
Salary slips
Experience certificate
He had none of these. The HR team said, “We’re sorry - we can’t proceed.” Despite working sincerely for two years, Manoj couldn’t prove it. He had to take up another junior role elsewhere.
Why this matters: Your career growth depends on written proof of experience. No matter how good you are at your job, without documentation, you won’t be considered “experienced” by future employers.
4. You’ll Struggle With Basic Financial Needs
Example: Shruti from Pune wanted to apply for a home loan. Her bank asked for three months’ salary slips and an offer letter. Her company never gave her those. Despite having a decent salary, her loan got rejected.
Another case: Nitin in Gurgaon tried to rent an apartment. The landlord asked for employment proof and salary slip. He didn’t have one and had to settle for a much costlier flat without formal rental agreement.
Why this matters: Your entire financial life depends on your employment records - from loans, credit cards, insurance, to even renting a house. No documentation means fewer options and more limitations.
5. You May Be Exploited Without Knowing It
Example: Ayesha from Bhopal joined a media agency. Her manager said, “We’ll pay you in cash - no slips needed. It’s more flexible.” But within three months, her salary was delayed, incentives were denied and working hours increased to 12 a day. When she asked for clarification, the manager replied, “You don’t have anything in writing, so let’s not argue.”
She realized too late and she had no say.
Why this matters: Companies that don’t offer documents do so to keep you powerless. They can fire you anytime, deny benefits or reduce your pay and you’ll have no control.
6. Your Career Growth Becomes a Dead End
Example: Harish worked as a graphic designer at a boutique agency in Chennai. He learnt valuable tools, managed client accounts and was ready to level up. He applied to an MNC that loved his portfolio. But they needed salary slips and past employment proof.
His current employer said, “We don’t give those unless you’ve been here for 5 years.”
He had to settle for freelance gigs again.
Why this matters: Without records, you can’t move up the ladder. New employers will hesitate to hire you without verification, and your skills may go unrecognized.
7. It Shows Bigger Problems in the Organization
Example: Simran from Jaipur joined a new café chain as a team lead. There was no HR, no PF, no offer letter - “It’s a startup,” they said. Over time, she noticed frequent fights over salary, unclear roles and multiple people leaving without notice. When the branch closed suddenly, she lost two months’ pay.
Why this matters: A company that avoids documentation often hides deeper issues like tax evasion, illegal employment or lack of leadership. It may not just affect your job, it can affect your peace of mind & career.
8. You Can’t Speak Up or Resign Peacefully
Example: Sunil from Indore was frustrated. His manager shouted at employees, withheld pay and imposed unfair rules. When he tried to resign, they said, “Fine. But you’ll get nothing - no full & final, no experience letter.”
He had no appointment letter to show his terms. He had no proof of his 8 months of work. He left, bitter and broken.
Why this matters: With documentation, you have clarity on notice periods, final dues, exit rules, etc. Without it, companies can bully or silence you. You’re stuck in a system where you have no voice.
9. You Miss Out on Benefits You’re Legally Entitled To
Example: Meera from Nagpur worked for 5 years at a textile company. She never received PF statements or salary slips. When she left and asked for gratuity and PF, they said, “You were on a contract. We didn’t enroll you.”
She had no proof to argue. She lost her retirement savings and gratuity.
Why this matters: Proper documentation ensures you’re enrolled in:
Provident Fund (PF)
ESI or medical insurance
Gratuity
Paid leave and encashment
Tax savings
Without these, you work without any social security.
10. You’ll Regret It Later, Even If It Seems Okay Now
Example: Tanmay from Ahmedabad joined a friend’s startup. It was casual - no paperwork, flexible timing, cash payments. Things worked well for a while. But when the startup failed, he was left without any proof of employment.
When applying elsewhere, he had a 2-year gap. Every employer asked, “Where were you in those two years?” He had no answer they could verify.
Why this matters: Even if things seem “chilled out” now, life is unpredictable. Having your employment history in order is not about being fussy — it’s about being prepared.
What You Should Always Insist On
If you’re joining any organization, always ask for:
✅ Offer Letter – before your joining date
✅ Appointment Letter – on or within a week of joining
✅ Salary Slips – every month
✅ Experience Certificate – upon leaving
✅ Bank transfer of salary – avoid cash payments
✅ PF/ESI number – if eligible
Don’t feel awkward or greedy asking for these. You’re protecting yourself, not offending anyone.
How to Handle This Situation Tactfully
Let’s say you’re offered a job, but the employer says, “We don’t do formalities. Just join.”
Here’s how you can reply:
“I’m very excited to join. For my records and future tax/loan needs, could you please provide an offer letter and monthly salary slips? It also helps me plan better. I’m sure we can align on the basics before I start.”
If they push back or delay, that’s your red flag.
You work hard. You show up. You give your time, energy, and effort. The least you deserve is recognition — not just in words, but in writing.
A company that values you will never hesitate to document your role, your pay and your work. And any company that doesn’t : well, you now know why that’s dangerous.
Don’t accept:
❌ “Trust us, we’ll give it later.”
❌ “We don’t follow those outdated processes.”
❌ “This is how we’ve always done it.”
Instead, demand what’s fair.
Because one day, whether it’s applying for your dream job, taking a home loan, or even just showing your children what you built - you’ll be glad you asked for it in writing.
